Booking conditions

The General Terms and Booking Conditions of Belmondo Travel (Belmondo) regulate the basis of business relationships between Belmondo and the Passenger. When using the website and completing a reservation through Belmondo, you acknowledge to understand and agree to the terms and conditions below.

After receiving your booking request, we will send you the confirmation email with all the booking details. Bookings can only be considered final after receiving payment of a deposit. We require a deposit payment at least 3 days after receiving the booking confirmation email to confirm your reservation. Upon receipt of deposit payment, an invoice confirming the remaining amount due will be sent to your email address. Upon full payment (at least 60 days before departure), you will receive an invoice listing all payments made and the information required for travel. When you make a booking, you confirm that you are of the appropriate age (at least 18 years of age at the time of the booking) and are authorized to enter into a contract. By booking on behalf of other participants, you are deemed to be the designated contact person for every participant included in that booking. That means you are responsible for making all payments due with your tour booking.

Program prices are per person, based on two persons sharing a room. Single-room supplements and triple-room reductions are listed where applicable.

All our rates are charged in Euro. A deposit of 200 EUR per person is required to confirm any reservation. Final payment is due at least 60 days before the tour date. Any reservation made within 60 days of the departure date must be accompanied by full payment and is subject to Cancellation Terms. Payments can be made by credit card or bank transfer. Please note that different payment conditions may apply to each booking. The guests will be informed about that before they make a firm booking followed by the deposit payment. Belmondo reserves the right to cancel your booking if the complete payment is not made by the specified deadline. In such cases, no refund will be issued. Belmondo is not responsible for any lost bookings.

Each booking canceled 60 days before travel will be subject to a 200 EUR per person cancellation fee. Guests who cancel after that date for any reason, including medical or family reasons, are subject to the following cancellation schedule: 59 - 30 days before commencing the tour – 50 % of the total cost of the tour 29 – 0 days before starting the tour – 100 % of the total cost of the tour Please note that different cancellation policies may apply to each booking. The guests will be informed about that before they make a firm booking followed by the deposit payment. The deposit payment means that the guest agrees with the specific booking conditions provided by Belmondo. The reason for your cancellation may be covered under the terms of your travel insurance, so it is essential to check your policy, as you may be able to reclaim applicable charges through your provider. We strongly recommend that you take out adequate travel insurance when you confirm your booking to ensure you are protected from all eventualities. Belmondo reserves the right to cancel or reschedule any trip departure for any reason, including insufficient demand, strikes, lockouts, riots, stoppage of labor, or Force Majeure Event. Belmondo is not liable or responsible for any guest arrangements made independently. Belmondo assumes no responsibility for costs or fees that incur for independent arrangements not booked through Belmondo, inclusive of, but not limited to, airline, hotel, excursion, and travel protection-related charges.

We strongly recommend that you buy appropriate international travel insurance at the time of paying your deposit, which should include cover for cancellation or curtailment of your holiday as a result of circumstances outside your control (including accident, illness, or inability to travel for other reasons), personal accident, personal liability, medical expenses and repatriation in the event of medical need. Medical care in other countries is only sometimes comparable to care you may receive locally. You are encouraged to purchase medical insurance covering you while on holiday. Your regular health insurance benefits may not apply abroad.

Passengers take full responsibility for having proper travel documents and checking with the respective consulates or visa agencies whether any visa is needed. Belmondo is not responsible for any visa/travel document issues that may occur on the border control. It doesn't provide any refund if clients are denied entry to any country on tour, or a client's visa application is unsuccessful.

Each Passenger warrants that they are physically and mentally fit to undertake the tour. Guests must advise Belmondo, when booking, of any physical, medical, or other special needs that require accommodating. Belmondo will make reasonable modifications to its policies, practices, and procedures when necessary unless doing so will fundamentally alter the nature of the services provided.

Any guest's disability that requires special attention must be reported to Belmondo at the time of booking. Suppose the client has any particular conditions, disability, or reduced mobility that needs personal care or supervision. In that case, such personal care or supervision must be organized by the client and at the client's expense. Belmondo does not provide personal devices (such as wheelchairs ….), one-to-one personal care or supervision, or any other form of care for physical, psychiatric, or other conditions.

Any dietary requests, special meal requirements, including allergies, or any other special request must be provided at the time of booking and are received on a request basis only. Belmondo cannot assure that special meal requests will be fulfilled and does not assume responsibility or liability if requests are not fulfilled. All requests are subject to availability.

We do not accept any liability for additional costs which may result from delays. For example, suppose you miss services booked on your tour due to a flight cancellation or late departure. In that case, it is your responsibility to cover these costs. We do not cover any refunds for missed services because of late flights or any other reason. We recommend that Passengers call us at the emergency phone number provided in your travel documents in case of delay.

Belmondo, is your travel agent for the entire tour, whether it's by plane, train, bus, van, car, ferry, cruise, or any other way of travel. We want you to know that we don't own or operate any of the hotels, transportation companies, local tour companies, or other service providers involved in your trip. Therefore, we are not responsible for any harm, damage, or loss caused by the actions of these companies or individuals. However, we promise to do our best to ensure your comfort, convenience, and safety throughout the journey.

Please inform your tour guide if you need to claim about any aspect of your tour that did not meet expectations. If your complaint cannot be resolved where you are, please get in touch with us immediately. Please inform us about this if you are not satisfied with our response. If you want to take the complaint because it has not been resolved, please send it with supporting documentation to our company during your tour or within 30 days after the end of the tour. No claim will be accepted afterward. Negotiation is considered a general method of solving problems or discrepancies concerning the fulfillment of the contract. In case the results of such negotiations are not found satisfactory by either of the parties, courts in Slovenia are considered the courts of appeal and arbitration.

We will not be liable to pay compensation if our contractual obligations to you are affected by an event we could not foresee or avoid with all due care.

We take the data privacy of our guests very seriously and are committed to abiding by the associated governing laws. Please be notified that from time to time, our Travel Directors may organize group photo opportunities as part of trip experiences. Such photos may be shared to our company social media channels such as Facebook, Instagram, Twitter, or LinkedIn. We will not share the image with anyone for any use other than for Company promotion. Please remove yourself from the group photos organized by the Travel Directors if you choose not to participate.
